Scheduled Reports

Last updated: October 28, 2026Section: Grafana Plugin

A schedule makes DashPDF render the same dashboard report regularly. Before you start, add the service account token in the plugin settings ("Plugin Settings").

Creating a schedule

  1. Set up the export on the Export page. A schedule always covers the whole dashboard.
  2. Click Save as schedule. The button is available to Editors and Admins.
  3. The plugin runs the dashboard queries once and records a plan of them. Fill in the form and save.

The time range must be relative, for example "Last 6 hours". With an absolute range you see This export cannot be scheduled.

If you see panel(s) will be empty in scheduled reports, those panels use $__from, $__to or ${__from:date} in their queries. Replace them with $__timeFilter (or $__range / $__rate_interval for Prometheus) and record the plan again.

Schedule settings

  • Name.
  • When: a 5-field cron expression, for example 0 9 * * 1-5 (weekdays at 9:00), or a shortcut such as @daily.
  • Time zone: the cron expression is evaluated in this zone.
  • Time window: the range fixed when the plan was recorded.
  • Recipients: email addresses are checked now; delivery by email is coming later.
  • Active: a paused schedule keeps its settings and plan but does not run.
  • Output: the same format and page options as on the Export page.

Schedule list

The Schedules page shows Name, When, Status, Next run and Last run for each schedule. Click Edit to change a schedule (Viewers see View).

Editing

Change the fields and click Save schedule. Record plan again re-runs the queries with the same window and variables and replaces the plan, for example after you fixed a blocked panel or changed the dashboard.

If you see This schedule was changed elsewhere, someone saved it after you opened it: click Reload and apply your changes again.

Delete removes the schedule's settings and recorded plan from DashPDF.

Where reports go

Each run is saved to your DashPDF account and appears as a new report on the Dashboard page at dashpdf.app, one row per run.

Failed runs

If a scheduled run fails, the schedule keeps running on time and the status shows how many runs in a row have failed. A successful run resets the count. After 3 failed runs in a row, DashPDF pauses the schedule so it does not keep producing failed reports. To resume it, fix the cause, open the schedule, make sure Active is on and click Save schedule.

Statuses

  • Active: the schedule runs on time. Active Β· N failed run(s) in a row means recent runs failed.
  • Paused: switched off with Active.
  • Paused: Grafana unlinked: the instance token was revoked at dashpdf.app.
  • Paused: failed 3 times in a row: fix the cause and save the schedule to resume it.
  • Stopped: service account token rejected: save a valid token in the plugin settings.
